For HVAC companies

More maintenance plans. A fuller slow season. Fewer estimates left open.

We set up AI for your HVAC company and connect it to the tools you already use. It follows up every unsold estimate, offers the tune-up before the phones go quiet, and keeps plan renewals from slipping. Then our AI keeps making it better, with a real person on a call every month.

AI in HVAC companies today

HVAC has more named contractors talking openly about AI than any other trade, and they are mostly larger shops with a hundred trucks or a hundred people. Their accounts are useful to a smaller company for what they admit as much as what they claim: AI on the phones books fewer calls than a good dispatcher, half the staff may be afraid of it, and it has to be coached like a new hire. The wins that travel best to a small shop are the quiet ones, such as following up estimates nobody had time to chase.

How it's being used

  • A Virginia contractor that handed its estimate follow-ups to AI reports 25% more sales on estimates that had gone unsold. It started with after-hours calls and expanded a step at a time. ACHR News, April 2026
  • A Cincinnati-area company has AI handling chat, calls, booking, dispatch and outbound texts, and says it grew 50% without adding a dispatcher. The figure is the company's own. Contracting Business, September 2026
  • A contractor with more than 100 vehicles across three cities says its average ticket rose 35% after it moved to AI-assisted dispatch, with no cut in headcount. Contracting Business, September 2026
  • 62% of HVAC contractors in one survey said they use at least one AI tool, a little behind plumbing and electrical. The survey was paid for by a field-service software company and mixes residential and commercial firms of every size. ServiceTitan survey, reported by Distribution Strategy Group, September 2026
  • Equipment makers are putting AI troubleshooting in the technician's phone: one manufacturer's app offers AI-guided diagnostics and a 30-day trend view, on compatible equipment and with the homeowner's approval. ACHR News, sponsored by Trane, October 2025

Where it's going wrong

  • AI on the phone still books fewer callers than people do. The same Cincinnati company says AI books 60 to 70% of calls. That beats the 25 to 40% its old answering service managed, and trails the 85 to 90% its own staff book. Contracting Business, September 2026
  • Staff fear is a real problem in a rollout. One New Jersey company says half its team was afraid of AI at first. Another contractor warns that without a clear reason for bringing it in, employees may work against it. Contracting Business, September 2026
  • Technicians resist tools that do not help them. In a survey of 181 commercial HVAC techs, they said 31% of the technology they are handed gets in the way, and only 21% felt any of it was built for someone in the field. The survey covers technology in general and was paid for by a software company. FTL survey, in ACHR News, October 2026
  • Even a company that sells AI phone agents to HVAC contractors says many of them do not work well. Its advice: ask for a trial before signing, never pass the AI off as a person, keep a human available, and listen to the recordings for the first two weeks. ACHR News, guest column by a voice-AI company, June 2026
  • Contractors who have adopted it expect some of it to fail. The Virginia contractor says there will be failures because it is technology, and sets up contracts so the return has to justify the payments. ACHR News, April 2026
  • One owner told ACHR News that AI is now her biggest workforce pressure: how to bring it in without losing the human side that defines her company. ACHR News, December 2025

What we take from it

The headline results come from companies with a hundred trucks and someone whose job is to manage the AI. The result that fits a ten-person shop is the plainest one: follow up the estimates nobody chased, and more of them close. That is where we start, alongside maintenance plans and the slow season.

On the phones, the honest numbers say AI beats voicemail and loses to your best dispatcher. We leave that decision with you. What we set up works either way: every lead and every estimate gets followed up, drafted by your AI and approved by you.

The contractors in these stories say AI has to be coached like a new hire. Most small shops have nobody with time to do that. Our AI does it for yours every month, and a real person reviews the numbers with you.

Common questions

Click a question to see the answer.

Is this an AI answering service?

No. Your AI works on follow-up and scheduling: unsold estimates, maintenance plan renewals, tune-up offers before the slow season, and gaps in tomorrow's schedule. Who answers your phone stays your decision.

We're a small shop, not a hundred-truck operation. Is this for us?

Yes. It is built for owner-run companies. We pick two priorities with you and track one number for each, such as the share of estimates won or customers on a maintenance plan.

Do my techs have to use it?

No. Your AI connects to the software you already run. Where a priority involves the techs, the change is usually a short checklist or a one-line script.

What happens in the busy season?

The work shifts with it. Once a month we review the numbers with you and keep, swap or add priorities, so the slow-season plan gives way to invoicing and callbacks when the phones are ringing.

What does it cost?

$1,000 a month for two priorities, plus setup from $1,500. The first step is a free 20-minute call.
